Truck dispatch

Truck dispatch services

We work as an outsourced dispatch department for US trucking companies and owner-operators, and the same service is available to carriers in other markets. We find and book loads, negotiate rates with brokers, plan routes and take care of the paperwork and billing behind every load. Our dispatchers act on your behalf under your own MC and DOT authority: you decide which loads to take, and your drivers stay focused on the road.

What we do

Load booking, rate negotiation, paperwork and billing for US trucking companies and owner-operators.

01

Load search and booking

We look for freight that fits your equipment, lanes and schedule on major load boards and through broker relationships. Loads are booked within the preferences you set or after your approval.

02

Rate negotiation with brokers

We negotiate the rate and terms on every load, using current market levels for the lane as a reference point, and do not accept offers below the minimums you set.

03

Route and schedule planning

We plan routes and line up the next load before the current one delivers, to reduce deadhead miles and keep schedules realistic within drivers' hours of service.

04

Communication with brokers and drivers

We keep brokers, shippers and drivers in the loop: check calls, status updates, appointment changes and issues on the road are handled by dispatch, so drivers can keep driving.

05

Paperwork and broker setup

We review rate confirmations, handle BOL and POD documents, fill out broker setup packets and complete carrier onboarding with new brokers, so every load has a complete paper trail.

06

Billing and accessorial claims

We invoice brokers or submit load documents to your factoring company, and file detention, layover, lumper and extra-stop claims with the supporting paperwork.

07

After-hours dispatch coverage

Evening, night and weekend coverage can be added so drivers can reach dispatch outside regular hours. Coverage hours are agreed individually and set out in the contract.

Why it matters

  • Your time back

Load hunting, broker calls and paperwork no longer take up your time or your drivers' time, so you can focus on your team, your equipment and growing the business.

  • Fewer empty miles

Planning loads ahead and building connected routes helps reduce deadhead and the idle time between one delivery and the next pickup.

  • Organized paperwork and billing

Complete documents and timely invoicing help avoid payment delays, and accessorial charges such as detention or lumper fees do not get forgotten.

How it works

  1. 01
Onboarding callWe discuss your fleet, equipment, preferred lanes, home time and rate expectations, and agree on the scope of work, coverage hours and the terms of the dispatch agreement.
  2. 02
Carrier packet and preferencesYou share your MC and DOT details, certificate of insurance, W-9 and factoring information; we prepare your carrier packet and record your load preferences.
  3. 03
Load search and negotiationWe search for loads that match your lanes and preferences, negotiate with brokers and send you the best options for approval.
  4. 04
Booking and paperworkOnce a load is approved, we book it, check the rate confirmation and send the pickup details to your driver.
  5. 05
In-transit updatesWe handle check calls, keep the broker updated and deal with delays, appointment changes and problems on the road as they come up.
  6. 06
Billing and reportingAfter delivery, we collect the BOL and POD, invoice the broker or submit the documents to your factoring company, and send you regular reports on loads and revenue.

Questions & answers

Are you a freight broker or a carrier?

Neither. We are a dispatch service: our dispatchers work on your behalf under your own MC and DOT authority. Loads are booked in your company's name, and brokers pay you or your factoring company directly.

Do I have to take every load you find?

No. Your lanes, equipment, minimum rates and home time are agreed at the start, and you have the final say on every load.

Which equipment and fleet sizes do you work with?

We work with owner-operators running a single truck as well as with fleets. Equipment we can dispatch includes dry van, reefer, flatbed, step deck, conestoga, RGN and car hauler; other types are discussed individually.

Do you provide dispatch at night and on weekends?

Coverage hours are agreed individually. In addition to regular dispatch hours, evening, night and weekend coverage can be arranged, and the exact schedule is set out in the contract.

Do you work only with US carriers?

Our main focus is the US trucking market, but load search, broker communication, paperwork and billing can also be arranged for carriers in other markets. The scope is discussed individually.

How much does dispatch cost?

It depends on fleet size, equipment and the scope of work. Two models are common in the industry — a flat fee per truck or a percentage of the load rate; the model and terms are agreed with you and set out in the dispatch agreement.
